The useful takeaway

Bring organized records and clear questions to a qualified professional; preparation helps a discussion, but it does not determine eligibility, filing duties, or funding.

01

Start with a clear financial picture

Begin with records that describe how money moves through the organization. Gather bookkeeping reports, bank and card activity, income and expense documentation, budgets, major contracts, and notes about unusual transactions. Keep restricted and unrestricted activity identifiable.

A month-by-month folder or secure digital location can make review easier. Add a question log: what happened, when, which document supports it, and what remains unclear. When reviewing a report, note its period and flag unfamiliar categories for discussion.

02

Prepare for payroll and grant conversations

For payroll discussions, keep registers, pay dates, wage information, withholding records, filings or confirmations, and notices together. Note hires, separations, pay updates, benefit deductions, and corrections. Applicable records and retention practices depend on your workforce, location, and process.

For grants, collect award notices, budgets, expense support, payment records, reporting dates, and use restrictions. Ask a qualified professional about the requirements for a particular award or program. Keep related correspondence with the agreement, and do not treat another organization's process as a rule for yours.

03

Frame 501(c)(3) and reporting questions

For 501(c)(3) discussions, prepare a timeline of formation, governing documents, activities, revenue sources, and prior submissions or correspondence. List questions about bookkeeping, payroll, annual reporting, records, and restricted funds. Preparation does not establish exemption, eligibility, or a filing position.

Remove unnecessary personal information before sharing anything and use the professional's requested secure process. A + Office Solutions prepared this general education for RCR; it is not by RCR's professionals and is not tax, legal, accounting, or grant advice.

A practical starting point

Your preparation list

Keep these prompts for your own use. There is nothing to submit here.

  • Locate recent books, bank records, budgets, and key agreements.
  • Create a month-by-month payroll record folder and change log.
  • Gather grant awards, restrictions, expenses, and reporting dates.
  • Write a non-sensitive list of 501(c)(3) and reporting questions.
When you want clarity

Questions to ask a professional

  1. Which bookkeeping categories and records fit our activities and restricted funds?
  2. What payroll and reporting records should we maintain for our organization and location?
  3. What facts and documents should we discuss regarding 501(c)(3) matters or a specific grant?
